Forward a contact

You can forward one or several of your contacts as an attachment in an e-mail message to another person.

Sending the information as an attached file sends the contact form with complete information about the contact. In Microsoft Office Outlook 2007 you can forward contacts as Electronic Business Cards. Depending on the e-mail program that your recipient is using, they may see the full image of the card in the message or they may receive only the .vcf file that contains the contact information. In both cases, the recipient can easily add the contact information to their contact list.

 

How do Electronic Business Cards appear to other people?

When you double-click the attached .vcf file in an e-mail message, it opens the contact form, which can then be saved to the recipient's contact list.

People who use Outlook 2007 see the Electronic Business Card in the message represented just as you sent it. The recipient can right-click the card and save the information to Contacts. The corresponding .vcf file is also attached.

People who use earlier versions of Outlook or other e-mail programs that require HTML to view e-mail also see the Electronic Business Card in their message. However, these cards are only images. Recipients also receive an attached .vcf file which contains the information for the contact. They can open the .vcf file and save that information to their contact lists.

People who view their e-mail in plain text do not see an image of the Electronic Business Card in the message, but they receive the .vcf file attachment.

 

Forward a contact as an Electronic Business Card

You can add contacts from your contact list to messages and then forward or send them to others.

Insert an Electronic Business Card in a message

Do one of the following:

  1. In a new message
  • On the Message tab, in the Include group, click Business Card , and then click a name from the list.

    Note  If Business Card is not available in the group, click in the body of the message to make the card feature active.
     
  • If you don't see the name that you want, click Other Business Cards, click the name in the Filed As list, and then click OK.

    The card is displayed in the body of the message and the corresponding .vcf file is attached.

    Tip  To distinguish between duplicate names on the Business Card menu, click Other Business Cards. You can see more information, including a card preview, in the Insert Business Card dialog box.
     
  • When you have addressed and completed the message, click Send.
     
  1. From an Electronic Business Card
  • In Contacts, in Business Cards view, right-click the card that you want to send.
     
  • On the shortcut menu, click Send as Business Card.

    A new message opens, displaying the card in the body of the message and the .vcf file as an attachment.
     
  • When you have addressed and completed the message, click Send.

 

Notes

  • The Business Card menu shows the last 10 contact names that were inserted as Electronic Business Cards in messages.
     
  • You can insert more than one Electronic Business Card in a message.
     
  • If you drag a business card from Business Cards view into a new message, only a .vcf file is included when the message is sent. This attached .vcf file opens the contact form with all the information that the recipients can save to their contact lists. If a recipient is using Outlook 2007, the Electronic Business Card is visible in the contact form.

 

Forward contact information in a contact form

This option sends the contact information as an attachment and does not include an Electronic Business Card in the body of the message.

  • In Contacts, click the contact that you want to forward.

    Tip  To select multiple contacts, press CTRL while clicking the contacts.
     
  • Right-click the contact, and point to Send Full Contact.
     
  • Do one of the following:
     
    • Click In Internet Format (vCard).

      Recommended  This sends the contact in a format that can be read easily by other e-mail programs. In some e-mail programs, some fields, formatting and custom properties, such as pictures or attachments, may not be included. If your message will be read by people who use e-mail programs other than Outlook 2007 with an Microsoft Exchange account, it is recommended that you choose this option.
       
    • Click In Outlook Format.

      This option is not recommended unless you are certain that your recipients are all using Outlook 2007 with an Exchange account for their e-mail. In this case, the attached file will display the same information and properties that the corresponding contact form contains. Recipients who do not use Outlook with an Exchange account will, in most cases, not receive the contact information in a readable format.
